Location Mapping
Connect SmartBill warehouses with Shopify locations for accurate stock synchronization.
What Is Location Mapping?
When you synchronize stock from SmartBill to Shopify, the application needs to know which Shopify location to update the quantity in. Mapping connects each SmartBill warehouse to the corresponding Shopify location.
When is mapping required?
Mapping is required only if you have enabled stock synchronization in Settings. Without stock synchronization enabled, mappings have no effect.
Example:
SmartBill: “Bucharest Warehouse” → Shopify: “Bucuresti Store”
SmartBill: “Cluj Warehouse” → Shopify: “Cluj Warehouse”
SmartBill: “Online Warehouse” → Shopify: “Primary Location”
Step 1: Create Locations in Shopify
Before creating mappings, you need to have locations configured in Shopify. Each warehouse or working point must be added as a location.
Steps:
- Go to Shopify Admin → Settings → Locations
- Click “Add location”
- Fill in Name and Address (e.g., “Bucharest”, “WAREHOUSE”, “Germany”)
- In the Fulfillment section, enable “Use inventory at this location to fulfill online orders”
- In the Shipping section, set it to On
- Click “Save”
Important location settings
Fulfillment (required)
”Use inventory at this location to fulfill online orders” — makes the stock at this location available for online orders. Without this option, stock synced from SmartBill will not be considered for sales.
Shipping (recommended)
Set to On if you ship orders from this location. Without active shipping, Shopify will not consider this location as a fulfillment point.
Pickup in store (optional)
Enable only if customers can personally pick up orders from this location.
Assigning location to products
Creating a new location does not automatically add it to existing products. You need to add the location to products so that stock appears there:
- When creating the location — Shopify will ask if you want to add inventory
- From the product page — Inventory → Locations section
- In bulk — select multiple products and add the location
- From the app — go to Stock Synchronization and click “Activate Stock” to automatically enable locations on all products
If a location does not appear in a product’s inventory, stock synced for that location will not be visible.
How stock works in Shopify
Shopify tracks stock per location. A product can have 10 units in “Cluj Warehouse” and 5 in “Bucharest Store”. When we sync stock from SmartBill, we update the quantity in the exact mapped location.
Step 2: Configure Mapping in the App
Once you have locations created in Shopify, create the mappings in the app:
Steps:
- From the application menu, go to Stock Location Mapping
- Click “Add New Mapping”
- Select the SmartBill warehouse
- Select the Shopify location
- Save the mapping
Duplicate mappings
Do not map multiple SmartBill warehouses to the same Shopify location. This can cause conflicting stock updates. Each SmartBill warehouse must correspond to a unique Shopify location.
Location Mapping vs Warehouse Rules
These are two different features that work in opposite directions:
Location Mapping (SmartBill → Shopify)
Specifies where stock is updated in Shopify when SmartBill sends stock notifications. Used for stock synchronization.
Warehouse Rules (Shopify → SmartBill)
Specifies which warehouse stock is deducted from when generating an invoice, based on the customer’s address. Used for invoicing.
In short
Mapping = where stock lands in Shopify. Warehouse rules = where stock is taken from when invoicing. Both can be configured independently.
Common Issues
Stock is not updating in the correct location
Verify that the SmartBill warehouse is mapped to the desired Shopify location. Unmapped warehouses are automatically ignored — their stock is not synced.
Location does not appear in the mapping list
The location must be active in Shopify and have “Fulfillment” enabled. Check in Shopify Admin → Settings → Locations.
